How Northmere Came About

Northmere started from a straightforward observation. When people in Malaysia begin preparing for the end of employment, they find themselves surrounded by paperwork — contribution statements from the Employees Provident Fund, identification renewals, nomination forms for various benefit schemes, correspondence from employers and government agencies — and very little reliable, jargon-free material to explain what any of it means in practical terms.

The founding team had backgrounds in administrative management and records handling. They had spent years helping organisations build document registers and retention schedules, and they saw that the same structured thinking applied equally well to individual households. In 2019, Northmere opened its first class in Ipoh, Perak, offering a three-hour session on common retirement documents for a small group of civil servants who were approaching the end of their service period.

Since then, the offering has grown to three distinct services — the original classroom session, a document digitisation and indexing service for households, and a records-practice engagement for employers and cooperatives — but the scope has not changed. Northmere explains, organises, and files. Questions about entitlements, statutory obligations, or financial planning go to qualified professionals, and the Northmere team refers those questions promptly and without hesitation.

Our office is at 36 Jalan Datoh in Ipoh, and that is where classes are held, where documents are collected, and where you can reach the team by telephone during office hours.

Our Operating Standards

The practices we follow in every engagement, without exception.

Signed Handling Agreements

No documents are collected until a written agreement is signed that describes exactly what will happen to them, in what order, and when they will be returned or deleted.

No Data Retained After Handover

Once digitised files have been transferred to the client, all copies on Northmere's systems are deleted. This applies without exception to every digitisation engagement.

Named Sources Only

Class materials cite every source by name and publication. We do not present interpretations as facts; we show you where to read the original and explain what kind of document it is.

Clear Scope at All Times

If a question falls outside general education or administrative process, we say so clearly and refer the individual to a qualified practitioner. We do not attempt to answer what we are not positioned to answer.

Written Quotations Before Work Begins

Every engagement begins with a written scope and fee statement. Nothing is charged that was not agreed in writing first. Prices on this site are in Ringgit Malaysia and form the basis for all quotations.

Records Education in Perak

Retirement paperwork in Malaysia involves a range of documents from different issuing bodies: the Employees Provident Fund, the Social Security Organisation, the National Registration Department, pension scheme administrators, and former employers. Each document type has its own filing convention, its own retention consideration, and its own role in a household's record-keeping system.

Northmere's classroom session, the Pre-Retirement Paperwork Primer, was developed specifically to walk through these document types in a single three-hour session using plain English and publicly available reference material. The session covers what each document generally looks like, which body ordinarily issues it, and where in a filing system it typically belongs. Participants leave with a printed workbook and a blank filing index they can adapt to their own collection of papers.

The Records Digitisation and Indexing service addresses the practical challenge that many households carry years of accumulated paper records — some filed, some not — that represent a significant administrative burden when it comes time to hand them to a family member or prepare them for a professional review. Northmere's clerical team handles the physical collection, scanning, naming, and indexing, and returns everything on an encrypted drive with a printed contents list.

For employers, cooperatives, and staff welfare committees in Perak and the surrounding region, the Workplace Records Practice Review offers a methodical look at current filing and retention practice from an operational standpoint. The engagement produces a written report, provides staff training on consistent naming and indexing, and includes a follow-up session at six months to see how the new processes are bedding in.
