Document digitisation and indexing

Records Digitisation & Indexing

A clerical service that converts accumulated retirement paperwork into a searchable archive. Papers are collected under a signed handling agreement, scanned at 400 dpi, named to a consistent convention, indexed, then returned on an encrypted drive with a printed contents list.

Is the Paperwork Primer class professional financial or legal advice?
No. The class is general education. It explains what retirement-related documents are, which public bodies ordinarily issue them, and how they are typically named — drawing entirely on published material. It does not review your personal documents, does not tell you what you are entitled to, and does not advise any particular course of action. Questions about individual entitlements should go to a qualified professional.
Who keeps a copy of my documents after the digitisation service?
Nobody. Under our signed handling agreement, all scanned files are transferred to you on an encrypted drive and then deleted from our systems. We do not retain any copy of your documents after handover. The handling agreement, which you sign before we collect anything, sets out this process in full.
How long does the Records Digitisation service take?
Typically ten working days for collections of up to 500 pages. Collections larger than 500 pages may require a longer turnaround, which we will state in writing before collection begins. We will let you know if anything unexpected affects the schedule.
Can our organisation book the Workplace Records Practice Review in stages?
The engagement is structured as one complete package that includes an initial walkthrough, a written report, staff training, a template register, and a follow-up review at six months. We are happy to discuss whether the timing of individual components can be adjusted to suit your organisation's schedule.
Are prices in Ringgit Malaysia, inclusive of tax?
All published prices are in Ringgit Malaysia. Any applicable taxes or fees will be stated clearly in the written quotation before you commit to anything. The figures shown on this page are starting prices for the described scope.
Do I need to bring anything to the Paperwork Primer class?
No. The class is designed around general information, not your personal documents. We provide a printed workbook and a blank filing index for each participant. You are welcome to bring questions, but there is no requirement to share or present any personal paperwork.
